Treasurer - Open Position
CCC Treasurer position description
Goal Per By Laws: It shall be the duty of the Treasurer to make all payments authorized by the Board, administer all funds and manage bank account, oversee bookkeeping, report to the Board on the financial status at each regular meeting as well as the annual meeting. Oversee completion of all necessary state, local, and federal tax forms annually.
- Email - Check CCC email 1-2x per week. If gone for longer, let board President know
- Voting - Vote on any board motions or topics.
- Bank Accounts - Monitor our Wells Fargo account to ensure there are not any major discrepancies or fraudulent activities. Write checks or bill pay when requested by board members. If checks are in question, ask the Board. (All checks for contractors are withheld until a copy of an active certificate of insurance is provided). Monitor the savings account through United Community Bank.
- Dr. Dave Fund- Monitor the Dr. Dave fund at least once a month. This is currently a stock held through United Community Bank.
- Bookkeeping - Oversee bookkeeping records monthly or quarterly in Quickbooks Online. Consolidate all expenses to send to the Executive Director to categorize. Monthly is better but this can be done quarterly.
- Tax filing - Ensure tax form 990 completed by April each year. Treasurer can work with a hired accountant on this. This is the primary legal responsibility of the Treasurer. Work with the Executive Director to cross check calculations.
- Payroll tax - Ensure Quarterly Payroll tax docs are complete (We use Gusto for Payroll. Gusto automatically files 940 and 941 forms for payroll taxes. Just save to Google drive.)
- Workers Comp - Audit of Workers Comp policies as they come in from our insurance companies.
- Certificates of Insurance - Monitor Certificates of insurance from our contractors for compliance to our standards.
- Budgets - Monitor CCC working budget and create an annual budget for each upcoming year.
- Board wide- attend meetings, assist with fundraising.
Timeline of most important budget and tax duties -
- Dec/January - Close previous year. Create an annual budget for the upcoming year.
- March - Close quarter. Consolidate in Quickbooks. File 990 for previous year.
- June - Close quarter. Consolidate in Quickbooks.
- September - Close quarter. Consolidate in Quickbooks.
- Dec/January - Close previous year. Create an annual budget for the upcoming year.
External Duties -
- Compose an income and expenses graph for public meeting (typically October)
- Provide P and L as needed for grants
